Manage absence

In Zylinc Attendant Console, Contact Center, Service Center, and Team Center, you can create simple calendar entries to indicate that someone is absent. This is especially useful for ad-hoc absence in connection with unforeseen events, such as sickness, but you can also use it for planned absence that people haven't already registered in their calendars.

  1. In the Time overview, right-click the name of the person you want to register absence for, and select Change Absence for ...

  2. Specify information about the absence:

    • Templates: Some organizations have set up templates that cover the most common types of absence. If a suitable predefined template exists, select that template to automatically fill out the other fields.

    • Subject: Reason for absence, such as Gone for the day, Lunch, or Sick.

    • Time

    • First day and Last day: If you select a different first day and last day, you can select whether the absence should be one continuous absence that starts and ends on those days, or whether it should be repeated every day during the period.

    • Category: Type of absence.

      Depending on your setup, your choice of absence category may automatically forward the person's calls to a predefined number. Ask your Zylinc administrator if you're in doubt.

      If you use color legends in the Time overview, the category will determine which color the absence will have when you view it in the Time overview's calendar.

    • One absence and Repeat absence: See First day and Last day.

    • Forward: Forward the person's calls during their absence. You can forward to the person's mobile number (if they have one) or to another person in your organization. The forwarding will end when the absence ends.

  3. Click Create Absence to save the absence in the person's calendar.

    You can specify multiple absences for the person if required.

Quick absence is a short, predefined absence appointment that you can quickly create if you select Actions > Create Quick Absence or use a keyboard shortcut.

Quick absence always applies to yourself, even if you've selected someone else in the Time overview.

Some organizations don't use the quick absence feature. It isn't available in Zylinc Attendant Console, and in other Zylinc programs it must be enabled by your administrator. Ask your Zylinc administrator if you're in doubt.

If your organization doesn't use quick absence, you can still create an absence for your self as described in the previous.

  1. In the Time overview, right-click the name of the required person, and select Change Absence for ...
  2. In the right part of the window that opens, select the absence that you want to cancel, and click Delete Absence.

This method also works for quick absence that you've set up for yourself.
